Make 2024 the Year you go 100% Paperless

Think of all the ways eliminating mailed invoices would help your organization. You could nearly eliminate your printing and mailing budget, substantially reduce your overall paper waste, and since all customers would be receiving their invoices as quickly as possible, you’d improve collections and create a more predictable revenue cycle.
With all the ways it can help your organization, it makes sense to always strive to convert 100% of your customers to paperless billing. Continually reminding payers of the benefits of paperless billing can help reduce your number of mailed invoices, but there are also actions you can take to grow your paperless adoption rate more quickly:
- Incentivize your payers for enrolling in paperless: Reward customers who enroll in paperless billing with a sweepstakes. Give everyone who enrolls during a certain timeframe an entry into the sweepstakes to increase your paperless enrollment. The chance to win a small prize can really help encourage customers to try paperless billing.
- Run an email capture campaign: Consider running a campaign to capture more of your customers’ email addresses. More email addresses in your database allows you to easily communicate with more of your customers about your plans to go 100% paperless. One easy way to do this is to include a bill insert in your invoice mailing with a QR code that links to a form where customers can provide their email address. We also recommend leveraging your customer service representatives to ask for email addresses when interacting with customers.
- Convert your AutoPay payers to paperless billing: Those enrolled in AutoPay are used to payments automatically deducting from their accounts, and as a result, they often don’t pay much attention to mailed invoices. Consider automatically converting all AutoPay customers to paperless billing. Be sure to notify customers ahead of time if you’re interested in trying this.
- Convert your registered payers to paperless billing: For an even faster way to boost your paperless adoption, consider automatically converting all payers registered for online payments to paperless billing. All registered payers (including AutoPay payers) receive up to three automatic invoice reminders via InvoiceCloud, so the mailed invoice can become redundant. Payers can always opt back into mailed invoices, but we’ve found that once customers convert, they overwhelmingly choose to stay enrolled in paperless billing. Be sure to notify customers ahead of time for this option as well.
