The Challenge

HEMIC had never accepted credit cards due to card processing fees and only allowed employers to pay with check via a lockbox or a traditional bank transfer. Paper checks and lockbox routing slowed processing down and offered little visibility into how policyholders were paying. HEMIC needed a partner who understood the complexities running a workers’ comp program, including premium audits, employee-count fluctuations, and pay-as-you-go arrangements don’t fit a standard monthly bill. 

Our Approach​

HEMIC chose InvoiceCloud, a Guidewire PartnerConnect Premier-tier technology partner with a pre-built integration live on the Guidewire Marketplace, giving HEMIC an established foundation to build on. When API configuration questions arose, InvoiceCloud brought in a dedicated Guidewire resource and connected HEMIC with a network of other workers’ comp mutuals who had completed similar Guidewire integrations. The sequenced the rollout started with inbound premium payments, with outbound disbursements planned as a later phase. Payment rules matched how workers’ comp premiums actually get paid. Regular premiums moved to AutoPay. Audit payments kept policyholder choice in place instead of forcing a fixed schedule. Existing pay-as-you-go customers, already used to automatic bank draws, continued without disruption, and a new pay-by-text option gave employers one more way to pay. Adding credit cards meant HEMIC would start paying card processing fees for the first time, so InvoiceCloud helped build a convenience fee model that kept that cost off HEMIC’s books. Ahead of launch, the two teams built policyholder-facing emails and website updates with clear terms, so employers weren’t caught off guard by a new fee.

The Result

HEMIC saw results within weeks of going live. Several million dollars in premium payments moved through InvoiceCloud electronically in the first week alone, and 60% of policyholders were paying through the platform within three months. HEMIC also gained visibility it never had before, into reminder email click-throughs, pay-by-text usage, and other channel-level data that shows how a payment starts.
